Hospitality and retail managers often struggle to maintain operational consistency and food safety standards across multiple shifts and locations.
Relying on manual processes like paper checklists and whiteboards leads to:
Lack of Accountability: Tasks are often missed or forgotten because there are no real-time reminders or clear ownership.
Zero Visibility: Owners and managers cannot track progress remotely, making it difficult to identify bottlenecks or verify that critical standards (like hygiene or opening/closing procedures) are being met.
Operational Errors: Inconsistent workflows between team members result in service delays and increased costs due to human error.
——
In this project, my goal was to digitize daily workflows to ensure that hospitality and retail teams operate with high efficiency and compliance.
My Design objectives:
Digital Task Assignment: Replaces paper with an interactive task list accessible via the POS or mobile devices, allowing managers to schedule tasks with specific deadlines.
Real-Time Monitoring: Provides a live "manager summary" and progress updates, allowing leadership to see what is done and what is outstanding at any moment, even from off-site.
Verification & Compliance: Includes advanced completion checks such as requiring photos, digital signatures, or notes to ensure standards haven't slipped.
Automated Notifications: Sends timely reminders to staff via email or in-app alerts to ensure time-sensitive tasks (like temperature checks or stock takes) are never forgotten.
Scalable Workflows: Offers pre-built templates and the ability to replicate custom checklists across multiple locations to ensure brand consistency.
The Outcome: The project transforms the POS from a simple transaction tool into a comprehensive operational hub. By digitizing management checklists, the project reduces "mental load" for staff, cuts operational costs by reducing errors, and provides managers with the data-driven insights needed to improve overall business performance.
